Operations Department

Assistant Director of Schools for Facilities -      Steve Nichols

Summary of Responsibilities

The Operations Department is responsible for co-ordinating and directing activities associated with projects that impact Sumner County Schools building construction programs. The Department works closely with each school's Principal and Administration to ensure that the facilities are clean, adequately furnished, and the enviroment is comfortable.  The major goal of the Department is to provide a building that is safe for the students and faculty and is conducive to promoting the education of Sumner County children.

The responsibilities of the Department include but are not limited to the following:

  • Planning and preliminary design
  • Budget development
  • Real estate acquisition
  • Construction schedules
  • Building and grounds design and construction
  • Furniture provisioning
  • Manage contracted grounds maintenance services
  • Warehouse, manage and distribute school commodities, furniture and supplies
  • Manage school system fixed asset inventory
  • Manage school facility usage by public or private organizations
  • Warehouse and manage surplus equipment
  • Manage disposition of surplus assets
  • Manage disposal of school generated waste

Staffing for the Operations Department includes; The Assistant Director of Schools for Facilities, Senior Administrative Assistant, Administrative Assistant II, Operations Secretary, Custodial Specialist/Property Officer, Property Officer Assistant, Contract Specialist, Floating Custodians (4), and Inventory Technicians (4).

Contracts - Chris Cowan

Coordinate and manage contracted services for:

  • Campus lawn care
  • Fire extinguisher maintenance
  • Security System inspection
  • Fire Sprinkler System inspection
  • Elevator and chairlift inspection
  • Portable class room relocation
  • Indoor pest control
  • Grease trap/interceptor clean out
  • Small school projects

Planning and Design - Tim Williams / Doug Pace

Review and evaluate requests for building improvements, construction, and renovation of school property:

  • Assist in development of long and short range building plans
  • Assist with development of project construction budgets
  • Determine project funding source
  • Assist with the selection of Architects and Engineering firms
  • Develop preliminary building design
  • Determine construction schedule
  • Develop and review drawings and specifications
  • Maintain design and construction documents
  • Assist with the location and purchase of building sites for new schools

Construction - Tim Williams / Doug Pace

Manage Major and Minor Construction Projects:

  • Assure request for bids is advertised
  • Review bid proposals
  • Manage and process contract preparation and approval
  • Assure adherence to laws, codes, and ordinances regulating school construction
  • Hold project status meetings
  • Assist with cost estimation of building projects
  • Confirm scope changes authenticity and cost
  • Serve as contact person for construction team
  • Monitor project progress
  • Maintain construction status records
  • Assist Architects and Engineers with inspections and generation of punch-list items
  • Procure final close-out documentation
  • Manage indoor air quality reviews
  • Manage sampling of potential hazardous materials for projects
  • Manage school facility usage by public and private organizations
  • Co-ordinate warranted repairs of new construction for 1 year

Property Management - Jamie York / Chris Harrison

Identify and Maintain records of school property and equipment, coordinate school district housekeeping program:

  • Establish custodian master work schedule
  • Assist Principals with employment of custodians
  • Inspect and report physical condition of school facilities to Director of Schools
  • Co-ordinate custodian training
  • Inventory custodial supplies and equipment
  • Inventory and maintain records of fixed assets and furniture (GASB 34)
  • Receive and warehouse supplies, housekeeping equipment ,and furniture
  • Manage supplies and equipment delivery to schools
  • Administer safety training for warehouse employees
  • Administer bio-hazardous waste disposal program
  • Process vendor Invoices
  • Gov Deals  (online auction of surplus items)
  • Determine furniture requirements and acquisition for new schools
